POSITION OVERVIEW

JOB SUMMARY:

Supports key Human Resources initiatives focused on employee growth, engagement, and performance. This role is responsible for coordinating and enhancing the University’s professional development programs, administering the performance management system, and managing employee recognition and awards efforts, including service and retirement programs. This individual will collaborate with campus partners to deliver training, provide guidance on performance processes, maintain program data and systems, and ensure a high-quality employee experience. This position requires strong organizational skills, attention to detail, and the ability to manage multiple programs while contributing to continuous improvement of HR services and initiatives.

Bachelor’s degree in an appropriate area of specialization. Four years of direct experience may be substituted for a bachelor’s degree.

PREFERRED QUALIFICATIONS:

Relevant experience supporting performance management processes, employee training and development initiatives, and recognition or awards programs is strongly preferred. The ideal candidate demonstrates strong organizational and project coordination skills, the ability to manage multiple priorities, and proficiency with HRIS or talent management systems. Excellent written and verbal communication skills are essential, along with the ability to work effectively with various stakeholders and maintain confidentiality. A proactive approach to problem-solving, a commitment to enhancing the employee experience, and the ability to analyze data to inform program improvements will contribute to success in this role.

ESSENTIAL FUNCTIONS/JOB DUTIES:
  • 40% - Supports the University’s professional development program. Analyzes training needs to provide new training and/or develops new training certification programs or modifies existing programs. Stays informed of new software/systems that will allow access to training opportunities that are being offered through Human Resources. Ensures that monthly training opportunities are provided to University employees through the Learning Library / Calendar. Reviews professional development calendar for training advertisements. Maintains the professional development website and any related forms. Schedules required annual Alcohol & Drug Free Workplace training for the campus and promotes awareness through flyers, banner, and/or brochures (April of each year). Creates, maintains, and monitors online training opportunities through current UWF online training software. Monitors professional development email inbox weekly. Creates specialized training programs as directed by the Assistant Director of Employee Relations. Works with the Administrative Specialist who: • Updates and sends monthly professional development calendar for advertisement. • Creates, maintains, and monitors (add/delete) professional development opportunities through online training software. • Reserves Human Resources training room for professional development and/or meetings. • Prepares documents for all Human Resources professional development such as sign-in sheets, evaluations, door signs, presentations, and certificates of completion. • Emails professional development attendees evaluation survey and facilitator evaluation report/results. • Opening/setting up and shutdown/locking up the Human Resources training room. - (Essential)
  • 35% - Supports the University’s performance management program. Assists in resolving customer concerns related to service delivery of the performance management system to ensure it is meeting the needs of our customers. Develops and facilitates training to employees on the performance evaluation process through the performance management system. Counsels and advises supervisors and employees regarding performance evaluation process and procedures. Maintains, inputs, and generates reports of the University Work Force performance evaluation data. Liaisons with the performance management system support technician or Customer Success Manager to make revisions and resolves performance management system problems. Launches, tracks, and reviews performance management evaluations in the performance management system. Collects performance rating data and uploads the data into Banner on a monthly basis. - (Essential)
  • 10% - Supports the University's Employee Recognition and Awards Program (ERAP). Works with the Assistant Director of Employee Relations to ensure proper execution of this program. - (Essential)
  • 5% - Manages the University’s Employee Service and Retirement Awards Program. Works closely with the software vendor to select appropriate years of service certificates and awards to recognize and honor University employees. Runs annual years of service report and provides years of service award recipients to the Assistant Director of Employee Relations in preparation for the annual Employee Recognition and Awards Program (ERAP). Facilitates quarterly meetings with the software vendor to provide feedback regarding platform, making necessary updates/changes to email templates and improvements to the platform’s functionality. Coordinates the selection of retirement award items, places retirement award order, and notifies retired employee when award is available for pick-up. Updates awards selection or status in online tracking software as needed. Collaborates with the Administrative Specialist for the purchasing of years of service awards / retirement awards. - (Essential)
  • 5% - Manages the University’s Awardco Recognition Program. Reviews and approves feedback / recognition submissions. Makes necessary improvements to the platform’s functionality. - (Essential)
  • 5% - Completes other duties and special projects as assigned by the Assistant Director of Employee Relations. - (Essential)
