POSITION OVERVIEW

JOB SUMMARY:

The Coordinator assists with the transfer admissions process for transfer, readmission, and Continuing Education programs. The Coordinator performs evaluations/articulations for admissions to the University. The incumbent maintains the transfer articulation catalog in Banner; determines transferability and applicability of course work to state and university requirements; and researches out-of-state courses to determine equivalencies within the SUS. The Coordinator articulates international credentials, accelerated methods, and military coursework; interprets and applies admission rules and policies; and advises prospective transfer students and assists them with application process and enrollment related issues, such as departmental information and course work and financial aid/scholarships award packages. The incumbent has the ability to interpret and make decisions based on state and university policies and procedures; determines if applicants qualify for Florida residency as governed by Florida Statutes; and coordinates with the Assistant Director to develop goals and implement strategies for achievement. Recruitment and travel may be required.

The Coordinator assists with the transfer admissions process for transfer and readmission applicants. Key responsibilities include: Processes transfer and readmissions application and renders admissions decisions; determines transferability and applicability of coursework to state and university requirements; advises prospective transfer students on the application process and enrollment-related issues, such as departmental information, coursework, and financial aid/scholarship award packages; maintains the transfer articulation catalog in Banner; utilizes TES daily for departmental approval of equivalencies; researches out-of-state courses to determine equivalencies within the State University System (SUS); articulates international credentials, accelerated methods, and military coursework; interprets and applies admission rules and policies; interprets and makes decisions based on state and university policies and procedures; determines Florida residency qualification as governed by Florida Statutes; coordinates with the Assistant Director to attain goals.

MINIMUM QUALIFICATIONS:

Bachelor’s degree in an appropriate area of specialization. Four years of direct experience may be substituted for a bachelor’s degree.

POSITION QUALIFICATIONS:

Knowledge of policies and procedures as prescribed by the Florida Department of Education and the University of West Florida. Requires background and experience in Admissions and/or Higher Education. Requires knowledge of degree programs, university facilities and services afforded students. Ability to interpret procedures and policies to university deans, directors, departmental chairs, and other authorized personnel and agencies. Ability to interpret transcripts and calculate a GPA for applicants. Requires judgment and discrimination of information about the different educational systems.

PREFERRED QUALIFICATIONS:

Previous experience in a college/university admissions office; previous experience with Banner and Slate.

ESSENTIAL FUNCTIONS/JOB DUTIES:
  • 40% - Process academic files for freshman, transfer and international applicants and prepare for evaluation. Processing duties include: review applications; analyze residency documents and match previously received documents to new files; receive and request transcripts and data enter test scores from official transcripts into the permanent academic record in Banner, if necessary. Reference Confluence pages as necessary for various processes. Route freshman documentation for processing as needed. Process readmission applications. Post decisions in Banner as part of the permanent academic record and order appropriate decision letters. Determine residency status according to Florida Statutes. This includes the data entry process through the final evaluation process for U.S. and international undergraduate students. Ensure that all admitted students meet Florida Department of Education, Board of Governors, and Universities policies. - (Essential)
  • 40% - Performs evaluations/articulations for transfer applicants to include applicants that have to meet FTIC and transfer requirements. Verify institution accreditation and the transferability and level of course work. Research out-of-state college work with issuing institutions to locate course descriptions and determine acceptability of transfer credit and applicability toward University requirements. Determine acceptability of transfer credit and applicability towards the Florida Common Core, Communication & Computation Skills, or any other applicable state or institutional policies. Evaluate accelerated method scores and apply credit where appropriate. Verify that credit has not been received through traditional means or duplicated with other accelerated methods. Evaluate military credit and make decisions on which courses to accept based on military recommendations and applicability to degree programs. Identify academic courses in the areas of Foreign Language & Civic Literacy as outlined in the Florida Statutes. Ensure designating ensures final transcripts updates for graduating students are processed/articulated to allow for proper degree auditing. Maintains transfer articulation catalogs in Banner as well as research area schools and their catalog inventory. Update and maintain course information from area transfer schools to ensure all equivalencies are uniform and correct. - (Essential)
  • 15% - Coordinate transfer articulation processes to ensure their applications are receiving timely admissions decisions. Work with department staff to ensure collaboration and coordination of special program requirements. Communicate with parents, prospective students, applicants, and admitted U.S. and international transfer students. Communicate with the campus community (e.g.; Deans, Chairs, faculty, advisors, and staff) via office meetings (appointment or walk-ins), scheduled meetings, email, and phone, and virtual meetings. Collaborate with stakeholders regarding Florida Department of Education rules, Board of Governors regulations, and university policy as it relates to admission and enrollment. Collaborate with stakeholders to determine the transferability of transfer credit, UWF equivalencies, international college credentials, accelerated methods, advanced placement (AP), and international baccalaureate (IB), military coursework, university requirements and pre-requisite requirements. Investigate and resolve problems for students, Deans, Chairs, faculty, advisors, and staff including, but not limited to, acceptance and calculation of transfer credit GPA, transcript discrepancies, policy interpretation, and data entry issues. Counsel prospective students, applicants, and admitted U.S. and international transfer students throughout the admissions process. Advise on enrollment related issues such as financial aid/scholarship awards, departmental information and transfer events (orientation and recruitment related).
