POSITION OVERVIEW

JOB SUMMARY:

The Assistant Director of Transfer Processing provides strategic and operational leadership for the transfer admissions unit, overseeing technical systems, compliance, and staff supervision. This position supervises a dynamic team and is responsible for staff training, development, and ongoing oversight to ensure efficient, accurate, and student-centered transfer admissions operations. This role directs domestic and international credit articulation, including transfer coursework and accelerated credit methods such as AP, IB, CLEP, and other recognized mechanisms. The incumbent maintains oversight of course equivalency databases within Banner and works closely with the Office of the Registrar on curricular components, including course equivalencies, attributes, and related academic policy considerations. The Assistant Director is responsible for the technical administration and compliance of transfer admissions systems, including Slate CRM and Banner, ensuring data integrity and adherence to institutional, state, and federal requirements. The position interprets complex Florida statutes and Florida Board of Governors regulations, particularly those related to state admissions and curriculum requirements, Florida performance-based funding metrics, and state admissions reporting, to support institutional accountability and performance goals. Additionally, this role serves as the primary athletic liaison for transfer admissions, collaborating with Athletics and campus partners to support compliant and timely enrollment of transfer student-athletes.

MINIMUM QUALIFICATIONS:

Masters degree in an appropriate area of specialization and two years of appropriate experience: or a bachelors degree in an appropriate area of specialization and four years of appropriate experience.

POSITION QUALIFICATIONS:

Requires a background in higher education, with demonstrated experience in transfer admissions, recruitment, operations, and credit articulation. Knowledge of state and federal regulations governing student records and confidentiality, including FERPA, as well as policies and procedures established by Florida Statute, the Florida Board of Governors, the Florida Department of Education, and the University of West Florida. Requires specialized knowledge of transfer credit articulation, degree program curricula, and university facilities and student services. Ability to interpret domestic and international academic transcripts, evaluate international credentials, calculate GPAs, and exercise sound judgment across varying educational systems. Experience making residency determinations is required. Ability to clearly interpret and communicate admissions policies and procedures to university deans, directors, department chairs, and other authorized personnel and external agencies. Proficiency with Banner and Google Workspace is required.

ESSENTIAL FUNCTIONS/JOB DUTIES:
  • 40% - Provides leadership and oversight for transfer credit articulation, academic credit evaluation, and course equivalency determination for undergraduate transfer applicants and continuing students. This includes the evaluation and posting of transfer credit for newly admitted transfer students and add-to-record cases, as well as the assessment of accelerated and alternative credit methods such as AP, IB, CLEP/DANTES, military credit, and other approved mechanisms. Evaluates academic records for compliance with general education and state requirements, including General Studies, Gordon Rule, foreign language, multicultural requirements, prerequisites, and applicable degree policies. Determines transferability of credit through review of institutional accreditation, course descriptions, transcript formats, grading systems, and course content, exercising judgment across domestic and international educational systems. Works collaboratively with the Director, academic department chairs, advisors, and deans to establish and maintain course equivalencies, utilizing tools such as the TES platform. Interprets and applies Florida Board of Governors, Florida Department of Education, and University of West Florida policies related to credit evaluation and articulation, responding to complex inquiries and non-routine cases. Maintains transfer articulation data and course equivalency tables within Banner and ensures accuracy of the transfer articulation catalog. Supports transfer articulation for readmitted UWF students, applies the A.A. Degree Forgiveness Policy, and evaluates international academic records as appropriate. Serves as a key liaison for transfer-related athletic certification by entering required data into ARMS to support compliance. Maintains transfer-related content within the UWF Catalog and communicates regularly with campus stakeholders regarding individual student records, transferability determinations, and applicable academic policies. - (Essential)
  • 30% - Establishes and maintains regular communication with admissions staff and provides comprehensive training for transfer admissions personnel on assigned responsibilities, procedures, and policy updates. Develops, implements, and monitors training strategies to ensure staff readiness, consistency, and compliance, while supporting ongoing professional development within the transfer admissions team. Counsels prospective students and campus stakeholders—including deans, directors, department chairs, departmental representatives, and external agencies—on domestic and international transfer admissions processes. Reviews and evaluates U.S. and international undergraduate applications and academic transcripts in support of transfer admissions decisions. Monitors operational and processing workflows related to transfer admissions and training, identifying areas for improvement and coordinating related activities with admissions and enrollment management personnel. Represents the University at student recruitment functions and at regional and national professional conferences. Maintains occasional communication with external testing and credentialing organizations as necessary to support transfer admissions operations. - (Essential)
  • 28% - Interprets and administers admissions-related policies, procedures, and regulations established by the Florida Department of Education, the Florida Board of Governors, and the University of West Florida. Reviews and evaluates transfer admissions policies and procedures and provides informed recommendations to the Director regarding policy development and operational improvements. Coordinates and interprets transfer and international admissions policies and procedures for university deans, directors, department chairs, other authorized personnel, and external agencies. Serves as a subject-matter expert for transfer admissions processes, including transfer admission, readmission, add-to-record cases, residency determinations, and accelerated credit methods. Plans and utilizes operational resources effectively to support the ongoing functions of the transfer admissions unit. Ensures the confidentiality and integrity of applicant and student academic records in compliance with state, federal, and institutional requirements, maintaining secure handling of both electronic and hard-copy records. - (Essential)
