POSITION OVERVIEW

JOB SUMMARY:

Inputs new W-4 and Direct Deposit information into Banner. Timely processing of electronic personnel action forms and related documents for bi-weekly payroll. Assists with Non-Resident Alien (NRA) & Resident Alien (RA) payroll-related matters. Understand and input NRA information into Windstar. Assists with the preparation of files and payments for insurance, retirement, taxes, and other related payroll deductions. Set up employee deductions. Assist with processing and reconciling of leave payouts. Assist with special projects and other tasks as needed. Organize and maintain documentation of payroll transactions in electronic database (BDMS). Assist with reviewing and sorting of all electronic Personnel Action Forms from DocuSign and Google Drive to appropriate payroll employee process. Assist with the payroll email. Assist with garnishment processing. Assist with Payroll processing when needed. Communicate with employees regarding payroll related inquiries and issues. This position is required to remain current on all Federal, State, and institutional regulations to ensure compliance. Review and approve journal entries in Finance Self Service.

MINIMUM QUALIFICATIONS:

A bachelors degree in an appropriate area of specialization; or a high school diploma and four years of appropriate experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

POSITION QUALIFICATIONS:

Knowledge of account principles and procedures, internal controls, payroll procedures, IRS regulations, State of Florida laws. Detailed oriented. Excellent communication skills. Problem solver.

PREFERRED QUALIFICATIONS:

Bachelor’s degree in Accounting or Finance; or a high school diploma and four years of Payroll experience for 500+ employees. Knowledge of the UWF organization, structure, and deadlines.

ESSENTIAL FUNCTIONS/JOB DUTIES:
  • 25% - Assist with the monitoring of the Payroll email for electronic action sheets. Assist in monitoring the Google shared drive for uploaded electronic action sheets. Assist with processing of Effort/Recap sheets. Input and revise employee deductions. Process supplemental payments. Provide excellent customer service both in person and over the phone. - (Essential)
  • 40% - Timely and accurate processing of action sheets & related documents for payroll using the Banner HR/Payroll system. These documents cover a wide variety of required payroll actions that (for the most part) must be addressed before payroll processing cutoff every other Friday. Some of the more common actions include changes to wage rates, taxes & deductions (457 contributions, Nautilus Card, Foundation, United Way, etc) and direct deposit setup/changes. In addition, proper processing is required for refunds, retroactive payments, adjustments and payroll history transfers. Reviewing payroll exception reports prior to payroll processing to ensure accurate tax and deduction setup for employees. Electronic filing of paperwork in BDMS. Performs other duties as assigned by the Payroll Manager. - (Essential)
  • 25% - Preparation and submission of file and payments for payroll related items. Prepares payroll vendors check requests, with appropriate backup documentation, and ensures payments are made in a timely manner. Reissues W-2s. Reissues employee direct deposit stubs. Maintains desk manual for position. Review and approve journal entries in Finance Self Service. - (Essential)
  • 10% - Other duties as assigned, including assisting as needed in meeting the mission of the Payroll and Controller’s Office which could include special projects. Actively serve as an ambassador of the Payroll Office through service to the campus and community. Participate in technological advances; opportunities for process innovations, process improvements, and continuous learning. Enhance personal knowledge, skills, and abilities through reading, watching, and participating in professional development such as higher education publications. Seek and act upon performance feedback from supervisors and colleagues. Actively engage in continual cross-training to be able to serve as backup as needed on all office tasks. - (Essential)
